Pitching Performance Lab, LLC ("PPL," "we," "our," or "us") is committed to protecting your privacy and ensuring you have a positive experience on our website and mobile application (collectively, the "Platform"). This Privacy Policy explains what information we collect, how we use it, how we share it, and your rights regarding your data.

PPL is a comprehensive training and development platform providing in-person and remote pitching instruction, performance analytics, and family-centered athletic development services to athletes of all ages and skill levels.


Information We Collect

Account Information

When you create a PPL account, we collect:

  • Full name
  • Email address
  • Phone number
  • Mailing address (for billing and contact purposes)
  • Password (hashed for security)
  • Date of birth (for athletes)
  • Athlete profile information (age, skill level, position, school, team affiliation, parent/guardian links)
  • Profile photo or avatar (optional)
  • Payment method information (see Payment Information section below)

Health and Training Data

PPL collects health and performance-related information to deliver our services:

  • Biomechanics metrics from launch monitors and tracking devices (fastball velocity, changeup velocity, curveball velocity, slider velocity, cutter velocity, spin rate, command score, mechanical score, release point, extension, etc.)
  • Training-program phase assignments (Active Rest 1, Active Rest 2, On-Ramp, Mound Blend, Performance Prep, In-Season)
  • Coach notes and observations about athletic performance, mechanics, training progress, and behavior
  • Medical screening records from physical therapist evaluations between throwing program phases
  • Athlete metrics logged by coaches (body weight, strength metrics, broad jump distance, medball distance, grip strength, strike percentage, exit velocity, etc.)
  • Throwing program completion data (exercises logged, daily workout adherence, program progression)
  • Wearable fitness data (if you choose to connect wearables): recovery score, sleep duration, heart rate variability, daily strain/exertion, heart rate zones (from Whoop, Driveline Pulse, ArmCare, or similar trackers)
  • Internal Drive Assessment responses (psychological self-assessment for motivation, resilience, competitive mindset)
  • Medical history and injury information (collected during intake forms and onboarding)

Booking and Attendance Data

  • Session bookings (which training sessions, consultations, or drop-in slots you've reserved)
  • Attendance records (check-ins, no-shows, cancellations)
  • Membership status and billing cycle
  • Training history and engagement metrics (last seen, last program view, last engagement)

Communications

We retain communications you initiate with us:

  • In-app messages between athletes and coaches/coordinators (through PPL Chat or legacy Conversations)
  • SMS messages sent to your phone (booking reminders, payment alerts, re-screening notifications, urgent alerts)
  • Push notifications you receive through our application
  • Email correspondence with PPL staff
  • Voice call notes logged by coaches using voice callback features

Photo and Video Content

  • Video uploads you submit for coach review or mechanics analysis
  • Training session photos and videos captured during your sessions (if you consent to recording)
  • Photographs and videos used in social-media posts featuring your performance or participation (subject to the Recording, Photography, and Likeness Release section of our User Agreement)
  • Media released for recruiting or marketing purposes (with your explicit consent)

Device and Usage Analytics

We collect technical information about your use of our Platform:

  • Device information: device type, operating system, browser type, device identifiers
  • IP address and location data (general geographic region for security purposes)
  • Session data: login times, pages visited, time spent on features, feature engagement
  • Error and crash logs (via Sentry error-tracking service) to diagnose and improve our services
  • Push notification opt-in/opt-out preferences

Cookies and Tracking

PPL uses:

  • Functional cookies for authentication (storing your ppl_token JWT)
  • Preference cookies for your user-selected theme (dark/light mode)
  • Analytics and error-tracking via Sentry (with PII masking enabled) to understand usage patterns and fix bugs
  • Session replay (via Sentry, with PII masked) to diagnose user-reported issues

PPL does not use third-party advertising trackers, behavioral tracking pixels, or marketing cookies. All cookies are first-party (domain: app.pitchingperformancelab.com) and functional.


How We Use Your Information

PPL uses the information we collect to:

1. Operate our services: Create your account, manage memberships, schedule sessions, process bookings, and deliver training instruction (in-person and remote).

2. Deliver coaching and instruction: Assign you to coaches, create personalized throwing programs, provide video feedback, track progress, and schedule medical screenings.

3. Provide analytics and insights: Aggregate your metrics, display progress reports on your athlete dashboard, identify trends, and help coaches tailor instruction to your needs.

4. Process payments and billing: Charge membership fees, collect payment methods, process refunds, and manage invoicing through Stripe (PCI-compliant payment processor).

5. Communicate with you: Send transactional emails (account confirmations, session reminders, payment receipts), SMS notifications (booking alerts, payment failures, re-screening reminders), and push notifications (coaching updates, new messages, program assignments).

6. Comply with legal obligations: Respond to lawful requests, preserve records for legal disputes, and maintain audit trails for financial and contractual obligations.

7. Improve the Platform: Analyze usage patterns, fix bugs, improve user experience, test new features, and develop new services.

8. Marketing and outreach (with your consent): Send promotional emails, news updates, and surveys about PPL services. You can opt out of marketing communications at any time by clicking "unsubscribe" in any email or adjusting your notification preferences in your account settings.

9. Safety and fraud prevention: Detect and prevent unauthorized access, fraud, abuse, and security threats.


How We Share Your Information

PPL does not sell or rent your personal information for marketing or commercial purposes.

We share your information only with:

Service Providers

We disclose necessary information to third-party service providers who assist us in operating the Platform and delivering services. These providers are contractually obligated to use your information only to perform services for PPL:

  • Stripe (payment processing) — credit card number, billing address, email address; Stripe does not store full card numbers (PCI compliance)
  • Cloudinary (media hosting) — videos, photos, and breakdowns you upload for mechanics review and coaching
  • Resend (email delivery) — email addresses and email content for transactional and promotional communications
  • Twilio (SMS delivery) — phone numbers and SMS message content
  • Firebase Cloud Messaging (push notifications) — device tokens for push notification delivery
  • Sentry (error tracking and diagnostics) — error logs, session information, and limited user metadata (with PII masked)
  • BetterStack (uptime monitoring) — basic health-check data to monitor service availability

Coaching and Medical Staff

  • Your assigned coach and location coordinators access your profile, booking history, metrics, program assignments, training notes, and video reviews as needed to coach you.
  • Licensed physical therapists conducting medical screenings or assessments access your injury history and screening results.
  • Outside coaches you explicitly link to your profile (travel-ball coaches, school coaches, private coaches) can view your progress, metrics, and training notes at your home location. You are responsible for verifying the legitimacy of any outside coach you add; PPL does not vet outside coaches and disclaims liability for their actions or use of your data.

Partner Schools and Organizations

If you are a member of a partner school or organization (high school, college, travel team), your athletic profile (name, position, metrics, session attendance) may be visible to that school's coaching staff for team-management purposes. Partner schools have read-only access to team rosters and individual athlete progress, but do not access payment or family information.

We disclose your information when required by law or to:

  • Comply with court orders, subpoenas, or governmental requests
  • Enforce our User Agreement and other contractual obligations
  • Protect the safety, rights, or property of PPL, our users, or the public
  • Investigate fraud, security breaches, or policy violations

Business Transfers

If PPL is acquired, merged, or undergoes restructuring, your information may be transferred as part of that transaction. We will notify you of any such change and any choices you may have regarding your personal information.

Aggregated and De-Identified Data

PPL may publish aggregated, anonymized, and de-identified data (such as "average velocity improvements for athletes in the On-Ramp phase" or "weekly attendance trends by age group") for research, marketing, and business-intelligence purposes. This data does not identify you.


Data Retention

Active Membership

Your account information, training data, communications, and media content are retained indefinitely while your membership is active. You may request deletion of specific content (photos, videos, notes) at any time; PPL will delete such content within 30 days of your written request, except where retention is required by law or contractual obligation.

After Cancellation or Deletion

When you cancel your membership or request account deletion:

  • Financial records (invoices, payment history, cancellation fees, twelve-week-minimum balances) are retained for seven (7) years to comply with tax regulations, state law, and fraud-prevention requirements.
  • Non-financial personal data (account profile, training notes, metrics, messages) are deleted within 30 days of your request, except where retention is required by law or our legal obligations.
  • Video and media content you have uploaded or appeared in is deleted within 30 days, unless you have granted PPL a media release allowing indefinite use for coaching or recruiting purposes; in that case, we retain it as authorized by your consent. You may request removal of social-media posts or marketing content at any time; PPL will remove content from its owned channels within a reasonable timeframe.
  • Medical and injury records may be retained for seven (7) years to comply with healthcare and liability regulations.

Backup and Archive

PPL maintains secure backups for disaster-recovery and business-continuity purposes. These backups may be retained for up to 90 days and will be purged during routine maintenance. Backups are not accessible for normal business operations and are protected with the same security controls as active data.


Athlete Data and COPPA Compliance (Children Under 13)

Pitching Performance Lab serves athletes under 13 in compliance with the Children's Online Privacy Protection Act (COPPA).

How We Protect Children's Privacy

  • Parent-Managed Accounts: Athletes under 13 cannot create independent accounts. A parent or legal guardian must create a family account and add the child athlete as a managed profile. The parent is the primary account holder and legal user.
  • Parental Consent: By creating a family account, parents and guardians consent to PPL's collection and use of their child's personal information as described in this Privacy Policy. We obtain this consent explicitly during the family account sign-up process.
  • Limited Data Collection: For children under 13, we collect only information necessary to provide training services and comply with regulations (name, age, date of birth, school, position, health/training metrics, coach notes, video content). We do not require children to provide sensitive personal information.
  • Parental Access and Control: Parents can view, edit, or delete their child's information at any time. Parents can request deletion of their child's account at any time by contacting privacy@pitchingperformancelab.com, and PPL will delete non-financial personal data within 30 days. Financial records (invoices, billing) are retained for seven years as required by law.
  • No Marketing to Children: PPL does not send marketing emails or promotional content directly to children under 13. Marketing communications go to the parent account.
  • Photo/Video Consent for Children: PPL requires separate, explicit parental consent before using any child's photo, video, or likeness in social-media posts, recruiting materials, or marketing content. This consent is obtained through the User Agreement and any supplemental media-release forms.
  • Wearable Data for Children: If a child under 13 links a wearable device (Whoop, Driveline Pulse, ArmCare), PPL collects health and fitness data (recovery, sleep, heart rate) only with explicit parental consent. Wearable data is used only for coaching purposes and is not shared with external parties or insurers.

Parental Rights

Parents can:

  • Access and review their child's complete profile, training records, metrics, and messages
  • Request deletion of their child's data by contacting privacy@pitchingperformancelab.com
  • Opt out of wearable data collection, photo/video recordings, or specific communication channels
  • Manage what wearables or external services their child can connect

Your Privacy Rights

Access

You have the right to request a copy of all personal information PPL holds about you. To submit an access request, email privacy@pitchingperformancelab.com with "Data Access Request" in the subject line. PPL will provide your data in a portable, machine-readable format within 30 days.

Correction

You can update or correct your personal information at any time by logging into your account and editing your profile, or by contacting privacy@pitchingperformancelab.com.

Deletion

Subject to legal retention requirements, you have the right to request deletion of your personal data. To request deletion:

1. Log into your account and select "Delete Account" in account settings, or 2. Email privacy@pitchingperformancelab.com with "Data Deletion Request" in the subject line

PPL will delete non-financial personal data within 30 days. Financial records (invoices, payment history, cancellation fees) are retained for seven years as required by Kentucky law and tax regulations.
